These Terms & Policies apply to coaching services provided by Jordan Cooper Personal Training, including personal training, online coaching, monthly subscriptions, starter offers, one-off sessions, consultations, programming, app-based coaching and any other agreed service.
By purchasing, subscribing to, booking or starting coaching services, you confirm that you have read, understood and agreed to these Terms & Policies.
These Terms & Policies should be read alongside any plan-specific information shown at checkout, on a plan page, invoice, message or written agreement.
1. Coaching Terms & Conditions
1.1 Services Provided
Jordan Cooper Personal Training may provide services including, but not limited to:
-
in-person personal training sessions;
-
online coaching;
-
training programming;
-
coaching app access;
-
check-ins;
-
basic nutrition, habit and lifestyle guidance;
-
progress tracking;
-
consultations;
-
educational support.
The exact service provided depends on the package, plan or agreement purchased.
Plan-specific details, including the number of sessions, subscription frequency, price and what is included, will be shown on the relevant plan, checkout page, invoice, message or written agreement.
1.2 Subscriptions, Payments and Renewals
Subscription plans renew automatically according to the billing schedule stated at the point of purchase.
For monthly subscriptions, payment renews each month on the original purchase date unless otherwise stated.
For example, if you subscribe on the 17th of the month, your subscription month runs from the 17th of that month to the day before the next renewal date.
Payment must be made on time using the agreed payment method.
You are responsible for ensuring your payment details are correct and that sufficient funds are available on the renewal date.
1.3 Plan-Specific Session Allowance
Session allowances depend on the plan purchased.
For example:

a 4-session monthly plan includes up to 4 personal training sessions per subscription month;
-
an 8-session monthly plan includes up to 8 personal training sessions per subscription month;
-
starter offers, one-off sessions, couples sessions and other plans may have different allowances.
Monthly session plans are not sold as a fixed guarantee of one or more sessions every calendar week. They are sold as a monthly session allowance based on your subscription month.
This allows for reasonable scheduling variation, client holidays, coach annual leave and differences between calendar months.
1.4 Yearly Session Structure
Where a plan is based on a monthly session allowance, the yearly session total is calculated from the monthly allowance.
For example:
-
a 4-session monthly plan provides up to 48 sessions per year;
-
an 8-session monthly plan provides up to 96 sessions per year.
This yearly structure allows for reasonable holiday time and scheduling variation, rather than guaranteeing sessions every calendar week of the year.
1.5 Session Expiry and Rollover
Sessions should normally be used within the relevant subscription month or agreed service period.
Where sessions cannot reasonably be used due to holidays, scheduling, illness or other reasonable circumstances, unused sessions may be carried forward for up to 2 months from the original subscription month.
Any further rollover beyond 2 months is at the discretion of Jordan Cooper Personal Training.
Unused sessions cannot be exchanged for cash, refunded, transferred to another person, or used after your subscription has ended unless agreed in writing.
1.6 Client Holiday Policy
Clients are asked to provide at least 14 days’ notice for planned holidays or periods where they are unavailable for sessions.
Where reasonable notice is given, Jordan Cooper Personal Training will aim to provide one or more of the following where appropriate:

rearrange affected sessions;
-
carry sessions forward within the 2-month rollover period;
-
provide suitable programmed workouts;
-
adjust the training schedule around your availability.
Client holidays do not normally pause, reduce or refund the subscription fee.
Subscription pauses are not normally offered for holidays, as monthly session plans are already structured to allow for reasonable holiday time across the year.
1.7 Coach Annual Leave and Sickness
Jordan Cooper Personal Training may take up to 4 weeks of planned annual leave per year.
At least 1 month’s notice will be given for planned annual leave wherever possible.
Where you are on a monthly session plan, the yearly session structure accounts for reasonable coach annual leave.
During planned coach annual leave, you may still receive programmed workouts and agreed coaching support where included in your plan, but in-person sessions may not take place during that period.
If Jordan Cooper Personal Training cancels a session due to illness, emergency or unforeseen circumstances, the session will be rearranged wherever reasonably possible and will not be treated as a missed client session.
1.8 Session Booking, Rescheduling and Late Cancellation
A minimum of 24 hours’ notice is required to cancel or reschedule an in-person personal training session.
Sessions cancelled or rescheduled with less than 24 hours’ notice may be treated as used and may not be rearranged.
Failure to attend a scheduled session without notice will be treated as a missed session and may not be rearranged.
Exceptions may be made at the discretion of Jordan Cooper Personal Training in cases of genuine emergency, illness or exceptional circumstances.
You may reschedule sessions with sufficient notice, subject to availability.
1.9 Subscription Cancellation Policy
A minimum of 14 days’ written notice is required to cancel a subscription.
Cancellation requests may be made by email or written message.
If cancellation notice is given less than 14 days before the next renewal date, the next payment may still be collected, and the subscription will end at the end of that final paid subscription month.
You will continue to have access to your included sessions and agreed coaching support during the notice period and any final paid subscription month, unless services have been paused or terminated under these Terms.
Cancelling a payment method, direct debit, standing order, card payment or subscription payment without providing written notice does not count as valid cancellation notice.
1.10 Cooling-Off Period for Online or Distance Purchases
Where a service is purchased online, by phone, by message or otherwise at a distance, you may have a legal right to cancel within 14 days of purchase.
If you ask for coaching services to begin within this 14-day cooling-off period, you agree that Jordan Cooper Personal Training may begin providing services immediately.
If you cancel during the 14-day cooling-off period after services have already started, Jordan Cooper Personal Training may charge a reasonable amount for services already provided.
This may include, but is not limited to:

completed personal training sessions;
-
consultations;
-
onboarding;
-
training programming;
-
app setup;
-
check-ins;
-
coaching support;
-
admin work;
-
or any other coaching service already delivered.
If a service has been fully provided within the 14-day cooling-off period, you may lose the right to cancel once the service has been completed.
This does not affect your statutory rights.
1.11 Refunds and Unused Services
No refunds will normally be issued for:
-
partially used subscription months;
-
unused sessions;
-
missed appointments;
-
late cancellations;
-
non-attendance;
-
unused app access;
-
unused coaching support;
-
completed consultations;
-
training plans or programming already provided;
-
or services already delivered.
Where sessions remain unused, Jordan Cooper Personal Training will aim to provide reasonable opportunity for these sessions to be used within the relevant rollover period, subject to availability and the terms of your plan.
Refunds, credits or alternative arrangements may be considered at the discretion of Jordan Cooper Personal Training in exceptional circumstances.
Nothing in these Terms affects your statutory rights.
1.12 Starter Offers, One-Off Sessions and Promotional Offers
Starter offers, discounted packages, tasters and promotional offers may have their own specific terms, including expiry dates, session limits and booking requirements.
Unless otherwise stated, promotional offers are non-transferable, cannot be exchanged for cash and cannot be combined with other offers.
Where a starter offer or promotional package includes a limited number of sessions, these must be used within the timeframe stated at purchase or agreed in writing.
1.13 Couples or Small Group Training
Where two or more clients train together as part of a couples or small group arrangement, the service may depend on both clients attending the agreed session.
If one client cannot attend, the session may still go ahead for the remaining client where appropriate.
Pricing, session duration and service structure may differ from one-to-one coaching.
If one person in a couples or group arrangement cancels or leaves the plan, the remaining client may need to move onto a different package or price.
1.14 Missed or Failed Payments
If a payment fails, is cancelled or remains unpaid, coaching services may be paused until payment is resolved.
This may include pausing:
-
in-person session bookings;
-
app access;
-
training plan updates;
-
check-ins;
-
messaging support;
-
and any other coaching service.
Services will resume once the outstanding payment has been made, unless the subscription has been cancelled or terminated.
Repeated missed payments may result in termination of coaching services.
Jordan Cooper Personal Training is not responsible for any bank charges, overdraft fees or payment provider charges incurred by the client due to failed or late payments.
1.15 Price Increases
Prices may be reviewed annually, with any changes taking effect from 1st January.
Clients will receive at least 30 days’ notice of any price increase.
Any annual price increase will not exceed 10% unless the client agrees to a different package, service level or coaching arrangement.
If you do not wish to continue at the new price, you may cancel your subscription in line with the cancellation policy before the new price takes effect.
1.16 Coaching App, Programming and Support
Where included, clients may receive access to a coaching app or online platform for programming, progress tracking, check-ins, messaging or other coaching support.
App access is provided as part of an active coaching service and may be removed if your subscription ends, payment fails or services are terminated.
Training plans, coaching notes, written guidance and app content are for your personal use only and must not be copied, shared, resold or distributed without permission.
Jordan Cooper Personal Training may update, adjust or modify training plans based on client progress, feedback, safety and coaching judgement.
1.17 Response Times and Working Hours
Messages and check-ins are typically responded to within 24–48 hours on working days.
Working days are Monday to Saturday, between 5:00am and 7:00pm.
Messages sent outside of working hours, on Sundays, during annual leave or during exceptional circumstances may be responded to on the next working day.
Messaging support is intended for coaching-related communication and should be used respectfully.
1.18 Client Responsibilities
Clients are responsible for:
-
attending scheduled sessions on time;
-
completing all required forms honestly, including the PAR-Q;
-
informing Jordan Cooper Personal Training of any injuries, pain, illness, medication changes, medical conditions, pregnancy or health changes;
-
seeking medical clearance where needed;
-
following coaching guidance safely and responsibly;
-
using gym equipment appropriately;
-
communicating concerns as early as possible;
-
taking responsibility for effort, consistency, nutrition, recovery and lifestyle outside of coaching sessions.
Clients must not begin or continue exercise if they feel unwell, injured or unsafe to train.
1.19 Health, Safety and Exercise Risk
All exercise carries some level of risk.
By taking part in personal training sessions or following a training plan, you confirm that you understand exercise may involve physical effort and potential risk of injury.
You agree to follow instructions, use appropriate technique and communicate immediately if you experience pain, dizziness, shortness of breath, discomfort or any symptoms that may affect your ability to exercise safely.
Jordan Cooper Personal Training reserves the right to stop, modify, postpone or refuse a session if it is considered unsafe for you to continue.
Jordan Cooper Personal Training is not responsible for injuries caused by failure to follow instructions, unsafe use of equipment, undisclosed medical information or activities completed outside agreed coaching guidance.
Nothing in these Terms excludes or limits liability where it would be unlawful to do so.
1.20 Medical Clearance and PAR-Q
Clients must complete a PAR-Q or relevant health screening before beginning coaching services.
If you answer “yes” to any health screening questions, report a medical condition or present with symptoms that may require medical input, Jordan Cooper Personal Training may require medical clearance before coaching begins or continues.
You are responsible for keeping your health information up to date throughout coaching.
1.21 Nutrition Guidance
Nutrition guidance may be provided where appropriate to your goals and package.
Nutrition support may include general education, habit targets, calorie or macronutrient guidance, meal structure, food tracking support or lifestyle recommendations.
Jordan Cooper Personal Training does not diagnose, treat or prescribe for medical conditions.
Clients with medical conditions, eating disorders, suspected eating disorders, pregnancy-related nutrition needs or complex dietary requirements should seek advice from an appropriate medical professional or registered dietitian.
1.22 Results Disclaimer
Jordan Cooper Personal Training will provide coaching, structure, education, support and guidance to help you work towards your goals.
However, results cannot be guaranteed.
Progress depends on individual factors including consistency, adherence, effort, training history, nutrition, sleep, stress, lifestyle, health, genetics and circumstances outside of coaching sessions.
1.23 Behaviour, Respect and Boundaries
Clients are expected to communicate respectfully and behave appropriately during sessions, through messages and within the gym environment.
Jordan Cooper Personal Training reserves the right to set and enforce reasonable coaching boundaries, including communication boundaries, session expectations and acceptable behaviour standards.
Abusive, aggressive, discriminatory, threatening, sexual, harassing or inappropriate behaviour will not be tolerated.
1.24 Termination of Services
Jordan Cooper Personal Training reserves the right to terminate coaching services immediately in cases of:

abusive, aggressive, discriminatory, threatening, sexual, harassing or inappropriate behaviour;
-
repeated missed payments;
-
repeated no-shows or late cancellations;
-
unsafe conduct;
-
misuse of coaching platforms or communication channels;
-
breach of gym rules;
-
dishonesty regarding health or medical information;
-
repeated disregard for agreed coaching boundaries.
Where services are terminated due to client behaviour, non-payment or breach of these Terms, refunds may not be issued for the current paid service period.
1.25 Changes to Services
Jordan Cooper Personal Training may make reasonable changes to coaching delivery, scheduling, app usage, programming methods, communication methods or service structure where needed.
This may include changes due to availability, gym access, annual leave, illness, business needs, platform changes or client suitability.
Any significant change that affects your paid service will be communicated as clearly and early as reasonably possible.
1.26 Intellectual Property
All training plans, coaching resources, written guidance, check-in forms, educational materials and other coaching content provided by Jordan Cooper Personal Training remain the intellectual property of Jordan Cooper Personal Training unless otherwise stated.
Clients may use these materials for their own personal training and progress only.
Clients must not copy, share, reproduce, publish, sell or distribute coaching materials without written permission.
2. Return, Refund and Cancellation Policy
Jordan Cooper Personal Training provides service-based products, including personal training, online coaching, subscriptions, starter offers, programming, consultations and coaching support. These are not physical products and therefore cannot be “returned” in the usual way.
2.1 Refunds
Refunds are not normally issued for:

partially used subscription periods;
-
unused sessions;
-
missed appointments;
-
late cancellations;
-
non-attendance;
-
unused app access;
-
unused coaching support;
-
completed consultations;
-
training plans or programming already provided;
-
or services already delivered.
Where sessions remain unused, Jordan Cooper Personal Training will aim to provide a reasonable opportunity for those sessions to be used within the relevant expiry or rollover period, subject to availability and the terms of your plan.
Refunds, credits or alternative arrangements may be considered at the discretion of Jordan Cooper Personal Training in exceptional circumstances.
This does not affect your statutory rights.
2.2 Subscription Cancellations
A minimum of 14 days’ written notice is required to cancel a subscription.
Cancellation requests may be made by email or written message.

2.6 Promotional Offers
Starter offers, discounted sessions and promotional packages may have their own expiry dates, booking conditions and usage terms.
Unless otherwise stated, promotional offers are non-transferable, cannot be exchanged for cash and cannot be combined with other offers.
3. Digital Product and Coaching App Policy
Digital coaching materials, app access, training plans, check-in forms, written guidance and other online resources may be provided as part of a coaching service.
These materials are provided for your personal use only.
They must not be copied, shared, resold, reproduced, published, distributed or used by another person without permission from Jordan Cooper Personal Training.
Training plans and guidance are created for the specific client they are provided to and should not be followed by someone else.
App access is provided as part of an active coaching service and may be removed if:

the subscription ends;
-
payment fails or remains unpaid;
-
coaching services are cancelled;
-
coaching services are terminated;
-
or you breach the coaching terms.
Digital coaching content does not guarantee specific results. Results depend on individual consistency, adherence, lifestyle, effort, training history, nutrition, sleep, stress, health and other individual factors.
Jordan Cooper Personal Training may update, adjust or remove digital coaching materials where needed for coaching, safety, programming or business reasons.
Digital products and coaching materials may be classed as provided once access has been granted, content has been delivered, or coaching work has begun.
Where a digital or online coaching service is purchased online or at distance, you may have a legal right to cancel within 14 days. If you ask for services to begin within that period and later cancel, Jordan Cooper Personal Training may charge a reasonable amount for services already provided, including app setup, programming, onboarding, check-ins and coaching support.
This does not affect your statutory rights.
4. Session, Holiday and Rollover Policy
4.1 Session Cancellation and Rescheduling
A minimum of 24 hours’ notice is required to cancel or reschedule an in-person personal training session.
Sessions cancelled or rescheduled with less than 24 hours’ notice may be treated as used and may not be rearranged.
Failure to attend a scheduled session without notice will be treated as a missed session and may not be rearranged.
Exceptions may be made at the discretion of Jordan Cooper Personal Training in cases of genuine emergency, illness or exceptional circumstances.
You may reschedule sessions with sufficient notice, subject to availability.
Repeated missed sessions, no-shows or late cancellations may result in a review of the coaching arrangement or termination of services.
Subscription cancellation is separate from session cancellation and requires at least 14 days’ written notice by email or written message.
4.2 Holiday and Session Rollover
Monthly personal training subscriptions are based on a monthly session allowance, not a fixed guarantee of sessions every calendar week.
A 4-session monthly plan provides up to 48 sessions per year.
An 8-session monthly plan provides up to 96 sessions per year.
This structure allows for client holidays, coach annual leave and normal scheduling variation.
Sessions should normally be used within the relevant subscription month.
Where sessions cannot reasonably be used due to holidays, scheduling, illness or other reasonable circumstances, unused sessions may be carried forward for up to 2 months from the original subscription month.
Any further rollover beyond 2 months is at the discretion of Jordan Cooper Personal Training.
Unused sessions cannot be exchanged for cash, refunded, transferred to another person, or used after your subscription has ended unless agreed in writing.
Clients are asked to provide at least 14 days’ notice for planned holidays or periods where they are unavailable for sessions.
Where reasonable notice is given, Jordan Cooper Personal Training will aim to rearrange affected sessions, carry sessions forward within the 2-month rollover period, provide suitable programmed workouts, or adjust the training schedule around your availability where appropriate.
Client holidays do not normally pause, reduce or refund the subscription fee.
Jordan Cooper Personal Training may take up to 4 weeks of planned annual leave per year.
At least 1 month’s notice will be given for planned annual leave wherever possible.
During planned coach annual leave, clients may still receive programmed workouts and agreed coaching support where included in their plan, but in-person sessions may not take place during that period.
If Jordan Cooper Personal Training cancels a session due to illness, emergency or unforeseen circumstances, the session will be rearranged wherever reasonably possible and will not be treated as a missed client session.
5. Privacy Policy
Jordan Cooper Personal Training collects and uses client information to provide coaching services safely, effectively and professionally.
By using this website, purchasing a service, completing a form, subscribing to a plan, booking a session or starting coaching, you agree that Jordan Cooper Personal Training may collect and use your information as described in this Privacy Policy.
5.1 Information Collected
Jordan Cooper Personal Training may collect information including:

phone number;

billing and purchase information;

booking information;
-
health screening information, including PAR-Q responses;

injury, pain, illness or medical information relevant to coaching;

Payment information may be processed through third-party platforms such as Wix or other payment providers. Jordan Cooper Personal Training does not normally store full card details directly.
5.2 How Information Is Used
Client information may be used to:

provide personal training and coaching services;

assess readiness and suitability for exercise;

create and adjust training plans;
-
provide check-ins and coaching support;
-
manage bookings and subscriptions;
-
process payments;
-
communicate with clients;
-
monitor progress;
-
maintain client records;
-
improve coaching services;
-
comply with legal, insurance, safety and business requirements;

respond to enquiries or complaints.
5.3 Health Information
Because personal training and coaching involve exercise, Jordan Cooper Personal Training may collect health-related information such as PAR-Q responses, injury history, pain, illness, medication changes, medical conditions and other information relevant to safe coaching.
This information is used only where relevant to coaching, safety, programming and client support.
Clients are responsible for keeping their health information accurate and up to date.
5.4 Progress Photos, Testimonials and Results
Progress photos, testimonials, client feedback or transformation results will not be shared publicly without the client’s permission.
If permission is given, the client may withdraw that permission for future use by contacting Jordan Cooper Personal Training.
Content that has already been published may take time to remove from all platforms, and Jordan Cooper Personal Training may not be able to remove content that has already been shared, saved or reposted by others.
5.5 Sharing Information
Jordan Cooper Personal Training may use third-party platforms to deliver services, including but not limited to website, booking, payment, email, calendar, coaching app, messaging or form systems.
Client information may be processed through these platforms where necessary to provide the service.
Information will not be sold to third parties.
Information may be shared if required by law, for insurance purposes, to protect safety, to deal with a dispute, or where necessary for business administration.
5.6 Data Security
Jordan Cooper Personal Training will take reasonable steps to keep client information secure and only use it for legitimate business, coaching, legal and safety purposes.
Clients should avoid sending highly sensitive information through insecure channels where possible.
5.7 Data Retention
Client information may be kept for as long as reasonably necessary for coaching, business records, legal, insurance, tax, safety or dispute purposes.
When information is no longer needed, it will be deleted or securely disposed of where appropriate.
5.8 Client Rights
Clients may request access to, correction of, or deletion of their personal information where applicable.
Clients may also raise concerns about how their information is used.
Requests should be made by contacting Jordan Cooper Personal Training directly.
5.9 Contact

6. Agreement to These Terms
By purchasing, subscribing to, booking or starting coaching services with Jordan Cooper Personal Training, you confirm that you have read, understood and agreed to these Terms & Policies.
These Terms apply alongside any plan-specific terms shown at checkout, on the relevant plan page, invoice, message or written agreement.
If there is a conflict between these general Terms and a plan-specific description, the plan-specific description will apply only to the specific service details of that plan, such as session allowance, price or billing frequency.
